Getting started with your Reacts Pro subscription

A Reacts “Pro” subscription will allow you to perform virtual video visits, communicate, collaborate, and engage with your patients and colleagues in a simple and secure way.

Your Reacts Pro plan allows you to invite patients to join you on Reacts for free as “guests”.

Please note that Reacts is a secure and confidential application which meets the high standards of the healthcare industry. YOUR PERSONNAL INFORMATION WILL ALWAYS BE PROTECTED.

To perform virtual visits using Reacts, you will need:

  • A computer, tablet, or a smart phone
  • An internet connection (cellular, Wi-Fi, or wired)
  • A valid personal or professional email address
  • A Reacts account with a Pro subscription (you will have to enter a confidential password)
  • The Reacts application

The instructions below are meant to be used as a guide to facilitate the onboarding process for physicians and other healthcare professionals, and to ensure an easy and rapid integration of the Reacts platform into their clinical workflow.


Step 1: Have a Reacts Pro subscription assigned to you by your organization

You will have to provide your organization with a valid personal or professional email address in order for them to assign you a Reacts Pro subscription (if you are using Reacts by yourself, you can purchase your Pro subscription through the Reacts website).


Step 2: Complete your Reacts account registration

After your organization has assigned you a Pro subscription (or you have purchased one online) you will receive an email from Reacts with information about your Reacts Pro subscription and instructions to create your Reacts account.

Click on the orange Join now button in the email and you will be redirected to the Reacts website to complete your account registration.

Your first name, last name and email will be pre-filled based on the information provided by your institution, just create a password and confirm it (your password must be at least 8 characters, including at least one uppercase letter, one lowercase letter, and one numeric character).

You will then need to review the Reacts / Innovative Imaging Technologies (IIT) Terms and Conditions and Privacy Policy; scroll down to the bottom of the page and check the boxes to accept them.

Finalize your account creation by clicking on the Create my account button.

You will receive an email  confirming that your account has been created.

Note: If you don’t receive this confirmation email, check your email “spam” folder, then contact your organization or Reacts customer support.


Step 3: Download the Reacts application onto your tablet or smartphone, or access Reacts directly from your computer

  • Download the Reacts application in advance from the Apple Store (Apple iPhone or iPad) or from the Google Playstore (Android phones or tablets) by clicking on the store links from the account creation confirmation email (as shown below) or type “Reacts secure collaboration” in the Apple Store or Google Playstore.

*Note: you cannot use a web browser to access Reacts on your smartphone or tablet, you must use the Reacts application downloaded from the Apple store or the Google Playstore (depending on your device type).

  • Once the application has been downloaded and installed on your device, open it by clicking on the Reacts icon:
  • When opening the application for the first time, you will be presented with pop-ups (see below) asking you to accept Reacts sending you notifications and accessing your microphone and camera. It is ESSENTIAL that you click Allow/OK for all three pop-ups otherwise you will not be able to receive Reacts call and message notifications, nor see or hear your colleagues or guests during a video visit.
  • To log in to the application, enter your email address and password. You must be logged in to Reacts in order for your colleagues or guests to connect with you. Note: set the Remember me toggle to “on” and you won’t have to re-enter your email address the next time you login to Reacts.
  • If you are using a Mac or Windows computer (laptop or desktop), you can access the Reacts Web application by using the Chrome browser and going to www.reacts.com. (If you don’t have Chrome installed on your computer, you can download it for free here).
  • Click on the Log In button in the upper right corner of the screen.
  • It will bring you to the login page – enter your email and password and click on Log in.
  • Make sure to allow the application to send you notifications, and to use your camera and microphone (see below)
  • Recommended: The Reacts Web application has a screen-sharing feature when you are in a live video session with your colleagues or guests (to share pictures or documents that are on your screen). To use this feature in Chrome, install the Chrome Reacts extension by following the instructions provided.

Note: You can skip this step and install the Chrome Reacts extension later.

If you are using a Windows pc, you can also access Reacts by downloading the Reacts Windows PC version.

Step 4: Log in to your Reacts account

In order to use the application, please log in to Reacts with your email and the password you chose in step 2.

Once logged in to Reacts, you will be on the home page (see screenshots below showing the home page of the various Reacts versions):

Step 5: Invite your patients on Reacts

In order to communicate with a patient on Reacts you will need to invite them to join you as a “guest”. This can be done from the Reacts dashboard, which can be accessed from either a computer or a mobile device. The guest subscription is free for the patient.

    1. Login to your Reacts account at reacts.com
    2. In the Contacts section, click on +Guest.
  1. This will bring you to the Reacts dashboard, where you can invite your guests and manage their subscriptions. Enter the name and email address of your patient and click on “Assign”.

You will get a message confirming that your Reacts invitation has been sent; the status of the guest account will appear as “pending” on your dashboard.

  1. As soon as your guest has completed his/her Reacts account registration, you will see the status of their guest account change to “active”. At any time, you can “unassign” your guest’s access and invite new guests by clicking on the orange + INVITE GUEST button.

2. Click on the menu button in the upper right of the page and then click on Log In to login to your Reacts account.


3. Enter your e-mail and Reacts password to log in to the Reacts dashboard


4. This will bring you to your Reacts dashboard, where you can invite your guests and manage their subscriptions. Click on the Manage guests tab.


5. Enter your patient’s name and email address and click on Assign.


6. You will get a message confirming that your Reacts invitation has been sent.


The status of the guest account will be initially shown as “pending” on your dashboard. After your guest has completed his/her Reacts account registration, you will see the status of the account change to “active”. At any time, you can “unassign” your guest’s access.


7. You can also invite new guests by clicking on the orange + INVITE GUEST  button.


8. Once you have completed the Reacts guest invitation process, your patient will receive an email from Reacts advising them that you have assigned them a Reacts guest subscription (see below).

Patients will have to create their Reacts account by clicking the Join now button and accessing the application by downloading it or by accessing it through the web version on their computer. When they log in to their account for the first time, they will automatically see you in their “Contacts” list.­

Step 6: Scheduling a Reacts session appointment for your patient

You can use the “Appointment” function in Reacts to schedule your virtual appointments with your patients (view tutorial) or simply have your secretary schedule the Reacts virtual appointment with your patient in the same way you already schedule your “in person” appointments, using the same tools and workflow as currently.

Your secretary will assign your patient a date and time for the virtual call. Example, “Dr. Smith will call you on Reacts on April 12th at 9:30am”; please be logged into Reacts at that time.

We recommend that your office send the patient instructions in advance to review the details of the upcoming video consult, and to explain what they should expect. See an example of email template below:

Please note, you have a teleconsultation (video appointment) with Dr. Smith on April 12th, 2019, at 9:30am. You will receive a video call at this time on the Reacts application. Please ensure that you have created your Reacts account, and are logged into the app at that time. 

 

Prior to this, you will receive an email with the details about the app we use called Reacts. Please follow the instructions provided to create your account and download the app to your smartphone or tablet, or using your computer by logging into Reacts via the web version at www.reacts.com (using the Chrome browser on your computer).

*If your clinic has a website, you can refer patients to an information page on your website about how to use Reacts or send them to the Reacts patient onboarding page.


Suggested workflow:

  1. “Mrs. Jones, Dr. Smith would like to have a video follow-up appointment with you on your phone or computer using a secure application called Reacts.”
  2.  “Please go to this webpage for further information” (https://reacts.com/onboarding-patient/)
  3.  “Dr. Smith will call you on Reacts on April 12th at 9:30; please be logged into Reacts at that time.”
  4. Have your office staff send a summary email to the patient (e.g. above).
  5. Within 24 hrs prior to the visit, resend the same email as a reminder to your patient.
  6. After the teleconsultation, it may be preferable to delete the patient’s guest account from the Reacts Dashboard (and remove them as a Reacts contact) unless you have ongoing teleconsultations pending.

**To avoid having patients call you on Reacts, you can set your status to “busy” or “offline” while you are online – this allows you to call out, but no one can call you. You can also simply “Delete” the patients from your contact list and “unassign” their Reacts guest account (from your Reacts dashboard).


Billing

Billing procedures for teleconsultations vary across provinces, states, and countries; please check with your local health authorities for applicable billing codes.

In the interest of continuous patient experience improvement, you may want to set up a brief online satisfaction survey and include the link in any patient follow-up correspondence.
